This position has responsibility for providing advanced administrative support, office management, and confidential support to the Director, Office of Human Resources which includes supervising the department's front desk administrative support staff and supervision/oversight of other clerical support functions within the office. Responsibilities include, but are not limited to; managing the Director's calendar, scheduling and coordinating meetings and appointments, preparing agendas, attending meetings, taking and transcribing minutes, screening incoming correspondence and phone calls to determine proper direction; meeting deadlines for reports, ensuring that day-to-day operations of the Office of Human Resources are carried out effectively, maintaining confidential records, anticipating and initiating administrative support activities, carrying out special assignments, and performing other related duties as required. The employee will serve as the HR liaison for the Office of Human resources utilizing Oracle software in these duties, as well as serving as the department relationship manager for MC311, utilizing Siebel software in these duties. This position is also responsible for providing back-up support to the Management Services Team.
This position requires the ability to exercise sound independent judgment, display initiative to perform tasks not covered by established procedures, and handle time sensitive and confidential information. May require some evening and/or weekend attendance at meetings and/or special events.

Experience: Seven (7) or more years of administrative aide experience.
Education: Completion of high school or High School Certificate of completion recognized in the State of Maryland.
Equivalency: An equivalent combination of experience and education may be substituted.

1. Experience using Oracle and Siebel software.
2. Experience utilizing automated systems in a Windows environment, such as e-mail, customized calendars (Outlook), PowerPoint, Access, Excel, Word and Internet/Intranet.
3. Experience maintaining calendars for executive/senior level management, including scheduling and coordinating meetings and appointments and screening and routing a high volume of calls.
4. Experience handling highly confidential and sensitive correspondence and records.
5. Experience providing supervision and/or leadership to administrative support staff.
6. Experience communicating with a wide range of individuals, including executives, officials, and the general public.
